Reporting to the CRCO, the PA will act as the main point of contact for the department and manage the CRCO’s correspondence, calls and agenda.
Duties & Responsibilities:
•Manage the CRCO’s schedule, organize meetings and appointments, and handle all correspondence (letters, emails, and telephone calls).
•Perform secretarial duties, including database management, filing, drafting reports, taking minutes & follow up on meetings, orders, and requests.
•Address inquiries and requests from both internal and external partners, ensuring deadlines are met.
•Update departmental leave records on the Vipertex system.
•Prepare Purchase Requests and coordinate with the Procurement Department for processing.
•Arrange overseas trips and visa applications and prepare detailed itineraries for the department.
•Coordinate among team members to ensure effective project monitoring.
•Produce reports and presentations as needed.
•Perform any additional duties as assigned.
Candidate pre-requisites:
•Minimum Higher School Certificate with a Diploma in Office Administration/Secretarial Studies or equivalent.
•At least five years’ experience in a similar role.
•Excellent verbal and written communication skills in both English and French.
•Proficient in Outlook, Excel, Word and PowerPoint.
•Knowledge of Vipertex would be an advantage.
•Comfortable with technology and social media (Teams, Skype, LinkedIn, Facebook etc.).
•Maintain confidentiality, discretion, and sensitivity in all aspects of the role.
•Demonstrate strong attention to detail while working efficiently to meet deadlines.
•Be a team player with the ability to coordinate tasks.
•Thrive under pressure in a fast-paced environment, be proactive and adaptable to change.
