The Executive Assistant consists mainly in facilitating communications within an office and fielding interactions with the public. You shall work closely with the General Manager in the organization of meetings and managing his calendar and providing support to teammates as required.
KEY DUTIES:
- Act as a liaison between the General Manager and internal/external parties, ensuring effective communication.
- Coordinate and organise meetings, conferences, and events, including logistics and materials preparation.
- Booking of meeting rooms, set up conference calls and take messages and minutes during each meetings.
- Efficiently manage and prioritise the General Manager’s calendars and appointments.
- Take accurate meeting minutes, distribute them within 2 days, and follow up on action items.
- Screen and prioritise incoming communications, ensuring timely responses and appropriate redirection.
- Draft and edit business documents for the GM, including emails, memos, reports, and presentations.
- Maintain confidential files, records, and databases with utmost accuracy and discretion.
- Liaising with managers for the organisation of lunch with any professional parties.
- Prepare and edit correspondence, reports, presentations and other documents as required.

- Proficiency in Microsoft office Suite.

KEY QUALIFICATION:
- Diploma / Bachelor's degree in Business Administration, Management, or a related field.
- Proven experience as an executive assistant or in a similar administrative role.
