Our client, a freeport operation company is seeking to recruit a dynamic candidate for the post of Administrative and Accounts Assistant.
Responsibilities:
Administrative Tasks:
- Maintaining records of import/export shipments, customer details, inventory, and transaction histories.
- Handling correspondence with suppliers, customers, customs, and other stakeholders.
- Preparing and organizing documents like bills of lading, invoices, purchase orders, and customs clearance paperwork.
- Organizing meetings, travel, and shipments, coordinating between various departments and external partners.
Accounting and Financial Tasks:
- Issuing invoices for services or goods delivered, ensuring payments are processed on time.
- Tracking financial transactions, including expenses related to shipments, tariffs, customs duties, and vendor payments.
- Managing payments to suppliers, as well as collecting payments from clients.
- Preparing financial reports to monitor the company's financial health and assist in budgeting.
- Ensuring that accounts match, and discrepancies are investigated and resolved.
Compliance and Regulations:
- Ensuring that all documentation and financial processes comply with international trade regulations, customs laws, and other relevant standards.
Inventory Management:
- Monitoring stock levels of goods for import/export, handling logistics, and ensuring accurate inventory records.
Profile:
- HSC with relevant qualification in accounting.
- At least 2 to 3 years' experience in a similar position.
- Proficiency in Microsoft Office tools.
- Attention to Details
- Ability to manage multiple tasks and deadlines efficiently.
- Ability to interact with various stakeholders including suppliers, clients, and regulatory bodies.
- Basic Accounting Knowledge - Understanding of financial processes and tools such as invoicing, bookkeeping, and financial reporting.
- Knowledge of Import/Export Regulations - Familiarity with global trade laws, customs regulations, tariffs, and import/export documentation requirements.
