The Syndic Accounts & Admin Officer is responsible for managing the financial accounts and administrative functions within the owners' associations of the Smart City of Beau Plan (the Syndics).

 

JOB PROFILE:

The Syndic Accounts & Admin Officer is responsible for managing the financial accounts and administrative functions within the owners' associations of the Smart City of Beau Plan (the Syndics). The role ensures the smooth operation of financial transactions, administrative duties, and member support, with a view to manage effectively the properties and facilities within the Smart City. This includes preparation & monitoring budgets, undertaking accounts receivables and payables duties, providing financial reports, and supporting the Syndic team in the day-to-day administration of owners' associations.

Main Responsibilities:

  • Preparation and monitoring of annual budgets, generation of invoices, and preparation of financial reports for owners' associations. Ensure timely collection of fees and payments from property owners and manage accounts payable duties in respect of processing of invoices, reconciliation of SOA and payments to suppliers.
  • Maintain accurate records of all financial transactions and perform reconciliations for various accounts including cash and bank accounts.
  • Prepare regular financial reports to be presented to members committees, ensuring compliance with financial regulations, tax laws, auditors, and organizational policies.
  • Handle day-to-day administrative tasks, including preparing documents, and maintaining communication between property owners and the Syndic team.
  • Address inquiries from property owners regarding billing, financial statements, or other related matters, ensuring a high level of customer satisfaction.
  • Ensure proper filing of all financial and administrative documents and assist in maintaining the overall smooth functioning of the office.
  • Collaborate closely with the Syndic team to manage all aspects of owners’ association administration, from organizing agendas to implementing resolutions.
  • Manage internal and external communication for the Syndic, ensuring transparency and clarity in all dealings with owners and other stakeholders.

 

Qualifications & Competencies required:

  • A degree in Accounting, Finance, Business Administration, or a related field is preferred.
  • ACCA qualification – Partly-qualified
  • Minimum of 2-3 years' experience in accounting, administration, or similar role, preferably within property management or a similar real estate/management context.
  • Proficiency in both written and verbal communication in English and French, essential for clear interaction with property owners and stakeholders.
  • Strong ability to manage a variety of tasks simultaneously, prioritize workloads, and ensure that deadlines are met.
  • High level of accuracy in handling financial data, maintaining records, and processing administrative tasks
  • Able to manage time effectively, ensuring that multiple priorities are handled efficiently.
  • Proficient in using various software tools, including accounting software, Microsoft Office Suite (Excel, Word, Powerpoint, Outlook), and other administrative tools.
