Job Description

Job Summary


Policy Administration Officer is responsible for executing and administering several core policy processes. The role ensures accurate validation of new individual business-related policies, maintenance of customer(s) records, coordination and follow ups of clients’ requests and after sale policy servicing. This position contributes to delivering a high level of customer service.


Main Responsibilities

  • Provide administrative support in the day-to-day management of Individual life business channel
  • Maintain and update customer records, account information and documentations in the policy administration system
  • Validate policy information and ensure that all requirements are met before finalising policies
  • Monitor and track pending client documentation to ensure completeness and compliance
  • Ensure compliance with internal policies and procedures in all administrative activities
  • Prepare/Verify individual policy contracts in line with established procedures and set KPIs
  • Handle correspondence with clients and internal stakeholders in a professional and timely manner
  • Verify all Policy servicing requests to ensure accuracy & compliance prior processing
  • Process/Validate technical and non-technical alterations and issue respective Endorsements
  • Process policy cancellation, reactivation and paid up
  • Issue Monthly Renewal Notices prior each due date
  • Process bank standing orders and/or salary deductions
  • Ensure that any policy related documentation issued are accurate and error-free
  • Assist Sales Operations and Customer Service team on customers related queries
  • Answer queries promptly as & when required while ensuring confidentiality of information
  • Assist in departmental projects like System Testing and Update in policy procedures
  • Liaise with internal departments such as Finance, IT, Compliance for resolution of customer related operational matters

  • Participate in the yearly customer correspondence exercise timely
  • Perform other administrative and support duties as assigned by management


Job Requirements

  • HSC
  • At least 1 - 2 years relevant working experience in a similar position or in the insurance sector
  • Knowledge in Life Insurance products will be an advantage
  • Good planning, organisational and multitasking skills to manage daily tasks efficiently
  • Proficient in Microsoft Office applications (MS Word & MS Excels skills)
  • Good Team Player & Willingness to take initiatives
  • Ability to work on tight deadlines
  • Excellent Communication skills, Verbal and Written
  • Ability to process tasks promptly and accurately, with a strong focus on quality and minimal rework
  • Strong attention to detail with the ability to work quickly and deliver accurate results in fast-paced environment
