Key Responsibilities:
- Administrative Support:
- Assist in maintaining accurate records of inventory levels, order details, and supplier information using spreadsheets or databases.
- Handle routine administrative tasks such as filing, data entry, and organizing documents related to supply chain activities.
- Order Processing:
- Assist in processing purchase orders accurately and in a timely manner.
- Coordinate with suppliers and logistics partners to track order status and ensure on-time delivery.
- Respond to inquiries from internal teams regarding order status, availability, and shipment tracking.
- Supplier Communication:
- Communicate with suppliers via email or phone to obtain quotes, place orders, and address any issues related to product availability, pricing, or delivery.
- Maintain positive relationships with suppliers and provide timely responses to inquiries or requests for information.
- Inventory Management:
- Support inventory management efforts by assisting regular stock checks.
- Collaborate with warehouse personnel to ensure accurate stock counts and proper storage of inventory.
- Documentation and Reporting:
- Ensure that all relevant documentation related to supply chain transactions, such as purchase orders and shipping documents, is accurately recorded and filed.
Qualifications and Skills:
- High school diploma or equivalent; additional education or training in supply chain management or administration is a plus.
- Previous experience in an administrative role, preferably in a supply chain or logistics environment.
- Proficiency in basic computer skills, including Microsoft Office applications (Word, Excel, Outlook).
- Strong organizational skills with attention to detail and accuracy.
- Effective communication skills, both verbal and written.
- Ability to prioritize tasks and work efficiently in a fast-paced environment.
Working Conditions:
- Typically, office-based, with occasional interactions with warehouse.
- May require occasional overtime or weekend work to meet deadlines or address urgent tasks, especially during peak season.
