As a Supply Chain Assistant, you will provide administrative support to the Head of Supply Chain, assisting in coordinating logistics, managing inventory, and facilitating communication with suppliers and internal stakeholders.

 

As a Supply Chain Assistant, you will provide administrative support to the Head of Supply Chain, assisting in coordinating logistics, managing inventory, and facilitating communication with suppliers and internal stakeholders.

Key Responsibilities:

  1. Administrative Support:
    • Assist in maintaining accurate records of inventory levels, order details, and supplier information using spreadsheets or databases.
    • Handle routine administrative tasks such as filing, data entry, and organizing documents related to supply chain activities.
  2. Order Processing:
    • Assist in processing purchase orders accurately and in a timely manner.
    • Coordinate with suppliers and logistics partners to track order status and ensure on-time delivery.
    • Respond to inquiries from internal teams regarding order status, availability, and shipment tracking.
  3. Supplier Communication:
    • Communicate with suppliers via email or phone to obtain quotes, place orders, and address any issues related to product availability, pricing, or delivery.
    • Maintain positive relationships with suppliers and provide timely responses to inquiries or requests for information.
  4. Inventory Management:
    • Support inventory management efforts by assisting regular stock checks.
    • Collaborate with warehouse personnel to ensure accurate stock counts and proper storage of inventory.
  5. Documentation and Reporting:
    • Ensure that all relevant documentation related to supply chain transactions, such as purchase orders and shipping documents, is accurately recorded and filed.

Qualifications and Skills:

  • High school diploma or equivalent; additional education or training in supply chain management or administration is a plus.
  • Previous experience in an administrative role, preferably in a supply chain or logistics environment.
  • Proficiency in basic computer skills, including Microsoft Office applications (Word, Excel, Outlook).
  • Strong organizational skills with attention to detail and accuracy.
  • Effective communication skills, both verbal and written.
  • Ability to prioritize tasks and work efficiently in a fast-paced environment.

Working Conditions:

  • Typically, office-based, with occasional interactions with warehouse.
  • May require occasional overtime or weekend work to meet deadlines or address urgent tasks, especially during peak season.
