The Clinic Receptionist manages front desk operations, including greeting patients, scheduling and confirming appointments, and answering phone calls. They maintain patient records, handle administrative tasks. The receptionist addresses patient concerns and directs them to the appropriate staff.
Key Responsibilities:
- Patient Reception and Assistance:
- Greet patients and visitors warmly and professionally upon their arrival.
- Assist patients with completing necessary forms and documentation.
- Ensure patients are informed of any delays or changes in scheduling.
- Direct patients to appropriate waiting areas and provide any necessary instructions.
- Appointment Scheduling:
- Schedule, reschedule, and cancel patient appointments in accordance with the clinic's policies.
- Confirm upcoming appointments and follow up with patients as needed.
- Phone and Email Management:
- Answer incoming calls and respond to patient inquiries with accurate information regarding clinic services, hours of operation, and policies.
- Direct calls to the appropriate department or staff member for further assistance.
- Maintain professional communication via email with patients, suppliers, and other stakeholders.
- Patient Records Management:
- Update and maintain accurate patient records in the clinic’s electronic health record (EHR) system.
- Ensure patient privacy and confidentiality are maintained in compliance with relevant regulations.
- Verify patient information, including personal details and insurance information, during check-in.
- Administrative Support:
- Assist medical and administrative staff with tasks as needed, including patient intake, data entry, and document management.
- Maintain the clinic’s supply inventory and order office supplies as necessary.
- Ensure that the reception and waiting areas clean, organized, and welcoming.
- Patient Relations:
- Handle patient concerns or complaints with professionalism and empathy, resolving issues whenever possible.
- Escalate more complex issues to Management or clinical staff.
- Compliance and Confidentiality:
- Ensure adherence to all clinic policies, procedures, and safety protocols.
- Maintain patient confidentiality at all times.
Skills and Qualifications:
- Holder of a Higher school certificate is desirable.
- Prior experience in a medical or healthcare setting is preferred.
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Proficient in the use of office equipment such as phones, computers and electronic health record systems.
- Basic knowledge of insurance procedures and medical billing preferred.
- Ability to remain calm and professional in a fast-paced environment.
- Strong customer service orientation with a compassionate approach to patient care.
Working Conditions:
- This role may involve working as per roster including weekends and Public Holidays
