The Night Manager is responsible to co-ordinate, direct and lead the Front Office personnel and ensure the smooth operation of the department under the direction of FOM whereby the results achieved are in accordance with the objectives, performance and quality standard established by the hotel.

 

  • Night Manager must assist the Front Office Manager in organizing, directing and co-coordinating the activities of the front office during nights in ensuring the smooth operation and proper administration of the department.
  • Night Manager to ensure that the staffs adhere to all policies and procedures established by the hotel.
  • To ensure the safety of the persons and the property of all within the premises by being fully conversant with all departmental Fire, Emergency and Bomb procedures.
  • To ensure effective communication within the front office and also with all other operating department.
  • Night Manager will represent the management in handling all guest complaints concerning services from all areas of operations during nights.
  • Night Manager will always encourage maximum revenues and occupancies through training and direct control.
  • To be thoroughly conversant with the front office computer system and be knowledgeable and know back up procedures and system recovery procedures.
  • Night manager to work and to comply, if possible with each and every guest request.
  • Night Manager to check and ensure that all rooms for VIPs are in order and respective amenities are place in the rooms.
  • To welcome arriving VIPs and bid farewell upon their departure.
  • To ensure that all keys and folder for group arrival are prepared before check in.
  • Night Manager will be responsible for accuracy data report.
  • Night manager must have full knowledge of all emergencies procedures and hotel policies.
  • To direct security officer / personnel whenever circumstances demand such action.
  • Night manager to prepare the Daily Event daily basis.
  • To ensure all reports prepared by Night Audit and Guest Service Agent are correct.
  • To make daily rounds of the hotel and outside the building and report to engineering department of any faulty lights or any other defaults that need attention.
  • To make daily rounds through all operating departments to increase visibility to guests and employee particularly at night.
  • To ensure that the lobby and entrance are kept clean at all times.
  • To ensure that the main entrance is free of obstructions and traffic congestion.
  • Review and monitor early morning wake up call procedures.
  • Maintain correct guest registration cards.
  • Maintain and update with current hotel information.
  • Complete knowledge of all room types and hotel facilities.
  • Review arrival lists and anticipate needs.
  • Operate communication equipment.
  • Night manager to oversees the Night Audit Function:
    1. Develop, update and train standards and procedures
    2. Produce Revenue Reports
    3. Review all audits and reconciliation of daily sales transactions of front office and all outlets, balancing all cash registers and reporting discrepancies to Line Managers.
    4. Advise line managers of recurring errors and CC to Front Office Manager.
  • Night Manager to ensure training needs analysis of night staff is carried out and training programs are designed and implemented to meet needs.
  • To ensure that members of staff from all departments report to work on time and contact the relevant HOD to arrange cover if necessary.
  • Night Manager must perform others duties and responsibilities as required from time to time.

 

 

SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES

 

Must be able to speak, write and converse freely in English and French.

Must be able to speak, write and converse freely in the language spoken in the area.

Must be able to speak in one additional language other than the first two.

Must be able to lift heavy luggage.

Must be able to stand 8hrs a day while maintaining a smile and positive attitude.

Must be proactive.

 Education:

High school diploma required, additional hospitality or butler training preferred.

Extensive Knowledge of Opera and familiarity with Internet/MS Office applications and related IT preferred.

Experience:

At least 2 years of experience within the hospitality industry in a supervisory position. Front Office Experience preferred.
