To provide administrative support to ensure an effective administration in the Maintenance Department and an efficient liaison with others departments.
Material Handling & Inventory
- Maintains an adequate stock of stationery supplies, and makes requisitions when necessary.
- Transmits any orders or decisions taken by the Maintenance Manager or Assistant Maintenance Manager promptly to team members as per instructions.
- Handles incoming telephone calls promptly and professionally.

- Represents the organisation at professional, civic, and government meetings whenever requested.
Projects Coordination
- Raises purchases requests as per instructions of the Maintenance Management and ensures their follows-up.
- Assists the Maintenance Manager in planning and preparing various meetings.
- Co-ordinates travel arrangements and schedules appointments for team members.
- Co-ordinates and participates in staff and community welfare events and functions as requested.
Admin Tasks
- Organises and files all Maintenance documents so that they are readily available on request for answering queries or preparing reports.
- Accurately word-processes all rosters, correspondence, minutes of meeting, reports, memos and other documents relevant to the Maintenance Department.
- Provides reference and dates on all correspondences and memos.
- Performs various data input duties as required.
- Signs on behalf of superior, as delegated, correspondence, requisitions, vouchers, and other forms.
