Job Purpose:

Provide pivotal organizational and administrative support to the IT department, ensuring seamless operations, effective communication, and the successful execution of IT initiatives.

Key Responsibilities:

  • Efficiently manage IT-related correspondence, files, and records to ensure seamless operations.
  • Organize and schedule IT meetings, preparing comprehensive materials and agendas in advance.
  • Accurately document meeting minutes, track action items, and ensure timely follow-up.
  • Take the lead in coordinating procurement, planning, acquisition, deployment, and maintenance requirements.
  • Develop and maintain clear documentation of IT standards, processes, policies, and procedures.
  • Act as a liaison between IT management and internal/external stakeholders to address queries and requests.
  • Collaborate with IT vendors and service providers to promptly resolve technical issues.
  • Support IT projects, ensuring successful execution and completion.
  • Manage software licenses, ensuring compliance and minimizing risks.
  • Assist in tracking and managing IT budgets and expenses, optimizing cost efficiency.
  • Provide general administrative support, contributing to the reduction of departmental overheads.
  • Support audit preparations and reviews to maintain compliance with industry standards.

Candidate profile:

  • Higher School Certificate
  • Proven experience as a Technical Administrative Assistant or in a similar IT-focused role.
  • Knowledge of computer systems, including software installation, maintenance, and troubleshooting.
  • Organizational skills with the ability to manage and prioritize multiple tasks effectively.
  • Excellent communication abilities, both written and verbal, with a keen eye for detail and accuracy.
  • Strong time management skills, demonstrating the ability to multitask and meet deadlines in a fast-paced environment.
  • Sharp attention to detail paired with strong problem-solving capabilities.
  • Proficiency in Microsoft Office Suite and Outlook.
  • Ability to thrive in a dynamic environment, working independently with minimal supervision.
