HR and Administrative Officer

Reporting to: HR Manager- Africa & MENA

Primary Responsibility: Assists in the HR administrative tasks and travel related tasks, as well as supporting the HR function in accordance with the Company’s practices. Collaborate with the project teams to support employment life cycle.

Duties and Responsibilities:

❖ Assist with HR functions for the group including but not limited to;

• Recruitment

• Onboarding

• Offboarding

• Reporting

• Support in managing discipline

• Performance Management

• Training and development

• Employees' Wellbeing

• Employee information system

• Immigration compliance

❖ Ensure the completeness of personal files

❖ Handle administrative needs across the HR function

❖ Maintain proper electronic and hard copy filing system

❖ Compile the contract and immigration (work permit) registers

❖ Monitoring of fixed term contracts and probation period

❖ Ensure efficient processing of HR administration

❖ Proactively work with Hiring Managers to ensure that recruitment process is followed, and all

necessary tasks are completed as per the policy

❖ Assist with expatriation and repatriation process

❖ Support in visa application- administrative support and tracking

❖ Support in update organization charts(when required)

❖ Organize interview for open position

❖ Draft and send offers to selected candidates

❖ Assist with Corporate Inductions and employee checklist and procedure

❖ Ensure compliance with all company policies, standards, procedures and rules

❖ Write minutes of meetings (staff rep meetings, disciplinary case etc…)

❖ Managing the financial aspects of travel planning by tracking expenditures through invoices and

generating reports on travel spending, making suggestions for cost saving measures where

possible

❖ Coordinating with travel agents to make sure that the travel arrangements are made correctly

and in a timely manner, including creation of travellers' profiles

❖ Serve as the point of contact for travel-related inquiries

❖ Maintain up-to-date knowledge of visa requirements, as well as current government travel

advisories

❖ Other duties as required

 

Knowledge & Skills Required:

❖ Minimum Diploma or Degree in HR, Management or a related field

❖ Good written and verbal communication skill

❖ Good understanding of HR and travel policies and regulations

❖ Good organisational skill and attention to detail

❖ Good analytical skill

❖ Time management skill

❖ Good team player

❖ Ability to prioritise own workload, work independently and meet deadlines

❖ Quick Learner

❖ Integrity/ Ethical and high degree of confidentiality

❖ Ability to interact with diverse cultures

 

Experience Required:

❖ Minimum 3-5 years’ experience in a similar role

❖ Experience working in the travel industry would be an advantage

❖ Intermediate Excel & Word, with aptitude to learn new software and systems

Physical Requirements:

❖ Ability and willingness to work flexible hours

❖ Must be fit and able to perform the inherent requirements of the job

❖ Ability and willingness to trave
