The Facility support officer looks after all minor repairs and general housekeeping of the office to ensure smooth running of operations. He coordinates with external suppliers, local authorities, and other stakeholders for coordination of work or as directed by his manager.

 

Overview

The Facility support officer looks after all minor repairs and general housekeeping of the office to ensure smooth running of operations. He coordinates with external suppliers, local authorities, and other stakeholders for coordination of work or as directed by his manager.

Duties and Responsibilities

1. General Maintenance (40%)

• Ensure minor repairs are conducted in a timely manner
• Coordinate with suppliers for servicing of items such as Air conditioning, Fire extinguishers, alarm systems etc.
• Act as point of contact with suppliers like CEB or CWA
• Coordinate with Landlord for all subjects related to facility and maintenance
• Ensure presence in office on Saturdays to supervise cleaning work to be conducted by sub-contractors.
• Act as key holder for technical access points such as risers and technical duct
• Any other general maintenance task as directed by manager

2. General office tidiness (35%)

• Ensure that Tea/Coffee is available in both kitchen in the morning.
• Take appropriate action to ensure offices are kept in a clean and tidy conditions.
• Coordinate work of the housekeeping company


3. Admin duties (25%)
• Attend to any office emergencies whenever required.
• Dispatch of Office documents to various companies: - Banks, Auditors, Company secretary, suppliers either by direct delivery or by post.
• Ensure that delivery logbook is kept up to date and available when required
• Coordinate with Finance manager for payments to be affected and ensure that same is done in a timely manner and according to ELCA compliance rules
• Coordinate with HR and admin specialist for purchase of office groceries or other items.
• Ensure regular stock take of consumables such as tissue papers. Sanitizer, coffee, milk etc and inform Admin officer for replenishment
• Any ad-hoc duties requested by Management Team.
