The Examination Officer will have responsibility to ensure that exams at Polytechnics Mauritius are conducted as per established procedures and practices.

 

Post: Examination Officer

Duration:  Contractual basis for two years, may be considered for permanent and pensionable establishment upon satisfactory completion of contractual employment

 

Salary: Rs 25,000- 35,000
(Negotiable on the basis of experience and qualifications)

 

Qualifications:

      A Bachelor Degree from a recognized institution

Experience:

At least three years’ post-qualification experience in administration in an educational setting.

Prior experience in examinations administration or quality assurance in an educational setting will be an advantage.

Knowledge and Skills:

Candidates should –

  1. Possess good organizational skills, customer oriented with good multitasking and organizational ability;
  2. Show Positive attitude, problem solving and decision-making skills;
  3. Demonstrate good interpersonal and communication skills;
  4. Be proactive and have the ability to meet tight deadlines
  5. Ability to work autonomously
  6. Sound Knowledge of examination procedures in vocational/ technical/ secondary/ tertiary education set up;
  7. Be extensively IT literate and conversant MS Office tools

Candidates should produce written evidence of experience/knowledge claimed.

 

 

Duties:    The Examination Officer will report to the Chief Executive Officer or any delegated

                   officer, and will have, inter alia, duties and not restricted to; –

  1. Be the focal point with regards to exams policy, process and examinations related matters.
  2. Collaborate with local and international academic partners to ensure smooth planning and conduct of examinations as per agreed protocol.
  3. Oversee the conduct of examinations and the security of papers and scripts to ensure full compliance with examination regulations.
  4. Ensure that all documentations related to the examinations are secured and readily available for future reference or reporting.
  5. Ensure quality assurance throughout the examination process.
  6. Implement a communication strategy that would provide timely and relevant information to students, parents, head of clusters and all those concerned with the exams.
  7. To maintain confidentiality at all times in respect of related matters and to prevent disclosure of confidential, sensitive information in line with data protection legislation.
  8. Establish and implement as needed an AI enabled examination process as an alternative approach to physical examination process.
  9. Assist with the inputting of results and cross checking of marked scripts.
  10. Prepare results for the Board of Examiners, ensuring the information is accurate and the appropriate checks are in place using standard processes within PML.
  11. Issue results following the appropriate quality checks, adhering to key deadlines.
  12. Issue transcripts where appropriate.
  13. Establish a mechanism to deal in a timely manner matters related to resit, appeals and any other related issue.
  14. Assist the Registrar’s Office and Quality Assurance Office on the conduct of the Board of Examination.
  15. Set up and manage Moderation Committees.
  16. Effectively supervise, train and motivate invigilators and staff allocated to support the examinations process.
  17. Work with and train other colleagues to ensure adequate cover and knowledge about the examinations system and procedures can be maintained in the event of an absence.
  18. Perform such other duties directly related to the main duties listed above or related to the delivery of the output and results expected from the Examination Officer in the roles ascribed to him/her.

NOTE:

  1. In case of a force majeure/public emergency, the Examination Officer will be required to be available to provide his/her services to ensure business continuity either through work from home, remote working, working online or work performed through any other IT systems.
  2. The Examination Officer may be called to work odd hours, Saturday afternoon, Sundays and Public Holidays.
