Our client in the Global Business Sector is currently seeking to recruit an Administrative Assistant. The Systems Support Administrator is responsible for all systems support requirements. The Systems Support Administrator reports to the Group Integration Manager and Group HR Manager.
Responsibilities:
- Provide day-to-day support to all business units and subcontractors via the Extranet ticketing system.
- Reporting and escalating any programming issues/bugs in FMS/Extranet/ME to the GISM or Developers.
- Assisting and training new users in using FMS and ME where possible.
- Updating users with any new developments that may affect procedures.
- Liaising and negotiating with Developers on new requirements.
- Contribute to the development and maintenance of the FMS, Extranet, and ME systems standards.
- Extensive use of FMS and Magic Eye to its full functionality to have a deep understanding of the systems.
- Research and contribute with any innovative ideas or ways to improve the operations and/or efficiency of the company and share/communicate them appropriately to management.
- Ability to work beyond regular work environments and hours in response to unforeseen circumstances
- Creating flow charts and SOPs/manuals per GIM to facilitate and assist the end-users.
- Assisting with managing leave for employees.
- Updating monthly extranet blogs as received by Legal/HSES team.
- Advertising and recruitment of new candidates for the company.
- Updating/maintenance of KYC as per management requirements.
- Managing users in the Predictive Index Platform.
- Daily updates of Sage Job cards.
- Providing access to Open VPN to Sage Users.
- Updating organisation chart, recording/ updating training data in employee master for employees when needed.
- Maintaining the creation of users in Sage and providing additional permissions.
- Preparation/updating of weekly reports on group recruitment reporting to the Group HR Manager.
- Preparation of monthly Group Headcount Turnover report, Group Employee Sickness report, and Group Employee Wellness Data for the Legal department.
- Manage/prepare monthly reports on Group Outstanding Leaves, Group Employee Data, and Group Training Data for Group HR Manager.
- Perform other tasks/duties as may be required by Management.
Profile:
- Relevant degree/diploma in IT/Engineering and/or systems-related fields. Fresh graduates are welcome.
- No previous work experience is required, although beneficial.
- MySQL/SQL or any other relational databases (highly beneficial).
- HTML / Using content management systems (Drupal etc.) to produce web pages.
- Familiarity with Amazon Web Services/Microsoft Azure.
- Programming, preferred language: Python.
- Excellent level of the English language, both written and spoken.
- Good communication and cooperation skills.
- High detail orientation (accuracy and quality orientation when working).
- Hard, energetic worker with high responsibility, accountability, and dedication.
- Result-driven (KPIs)/orientated and good time management skills.
- Decision maker and quick thinker in a team or individually.
- Patient and able to handle similar and repetitive requests daily.
