We are currently looking for a dynamic and result-driven Administrative Assistant to join our Training Centre Team. Reporting to the Manager of the Learning Business Unit, the Administrative Assistant will be responsible for ensuring the smooth operation of daily activities and the efficient coordination of training programs. This role encompasses a variety of administrative and organizational duties, with a key focus on ensuring that all training initiatives are properly managed and compliant with regulatory bodies such as the Mauritius Qualifications Authority (MQA) and the Human Resource Development Council (HRDC).
Responsibilities:
- Provide administrative support to the training team, including scheduling meetings, managing calendars, and maintaining records.
- Communicate with trainees, trainers, and external partners via email, phone, and other platforms.
- Prepare and distribute training materials, documentation, and reports.
- Assist in organizing training events, workshops, and seminars, including coordinating logistics such as venue booking, catering, and equipment setup.
- Stay updated on MQA and HRDC guidelines and requirements to ensure that all training programs meet regulatory standards.
- Manage the submission and follow-up of training programs with MQA and HRDC to ensure proper approval and compliance.
- Process enrolment forms, maintain attendance records, and track completion of training programs.
- Manage the training center filing systems, ensuring all documentation is up to date and easily accessible.
- Support financial and procurement processes, including processing invoices and expense reports related to training activities.
- Assist in preparing training evaluation surveys and compiling feedback for continuous improvement of programs.
- Perform general office duties such as answering phones, handling correspondence, and ordering office supplies.
Requirements:
1. Education
- At least a Higher School Certificate or a Diploma in any related field
2. Experience
- At least 2-3 years of proven work experience in a similar role
- Proven experience in an administrative or support role, preferably in a training or educational environment.
3. Skills
- Excellent organizational skills with strong attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong verbal and written communication skills.
- Ability to manage multiple tasks and priorities efficiently.
- Ability to work independently or in team.
- Friendly and professional approach with a customer service mindset.
