We are seeking a highly organized and detail-oriented Admin & Purchasing Clerk to join our team. The ideal candidate will be responsible for handling day-to-day administrative tasks while managing procurement activities to ensure smooth office operations and timely acquisition of goods and services.

 

Key Responsibilities:

  1. Procurement Duties:
    • Prepare and process purchase orders for goods and services, ensuring compliance with company policies.
    • Evaluate vendor quotes and negotiate pricing to secure the best value for the company.
    • Maintain relationships with suppliers and monitor vendor performance.
  2. Administrative Support:
    • Assist in the preparation of reports and documentation related to purchasing activities.
    • Maintain organized files for purchase orders, receipts, and vendor contracts.
    • Update and manage inventory records, ensuring accurate stock levels.
  3. Communication:
    • Serve as the primary contact for suppliers and internal departments regarding procurement inquiries.
    • Coordinate with various teams to forecast purchasing needs and manage supply levels effectively.
  4. Data Management:
    • Use procurement software to track orders and inventory levels.
    • Analyze purchasing data to identify trends and opportunities for cost-saving measures.
  5. Compliance and Reporting:
    • Ensure all procurement activities comply with company policies and relevant regulations.
    • Assist in audits by providing necessary documentation and reports related to purchasing activities.

Qualifications:

  • High school diploma or equivalent; associate’s degree in business administration or related field preferred.
  • Proven experience in procurement, purchasing, or administrative roles (2+ years preferred).
  • Proficient in Microsoft Office Suite (Excel, Word) and experience with procurement software (e.g., SAP, Oracle).

  • Excellent communication and negotiation abilities.
  • Detail-oriented with a strong sense of accuracy.
  • Ability to work independently and as part of a team.
