- 1. Daily & monthly Attendance/reports
- Daily Monitoring: Check each day if all site members have logged into the ZOHO system to ensure the team leader hasn’t overlooked anyone.
- Attendance Tracking: Update daily attendance for each site in an Excel sheet to provide total man-days for specific jobs at end of the project and to estimate department for macro planning.
- Subcontractor Verification: Daily update and verify the list and number of subcontractors against ZOHO entries
- For weekly or biweekly payment to subcontractors, the number of subcontractors should be provided to the accounts department to be included with the payment voucher.
- Leaves Balances: Update leave balances monthly after closure of payroll and share the information in the WhatsApp group.
- 2. Assist in the monthly Payroll process
- Sicorax Updates: After validating with ZOHO, update Sicorax with time in time out, sick leaves, local leaves and absences.
- Transport Claims Verification: Ensure that no transport claims are made by employees who use the company van and that their pickup point is within 3 kilometres of their home. Taxi fare refunds are not permitted.
- Time Record Checks: On a monthly basis, compare the time record sheet with the ZOHO system, addressing any discrepancies with the Team leader.
- Monthly Bus Ticket Request: Request bus tickets for reimbursement for site members each month, adhering to a “no ticket, no refund “policy.
- Overtime Team leaders: Compiled overtime claim by team leaders on their specific jobs
- Quickbook Update: Record the time each site member spends on a specific job in Quickbooks, linking it to the relevant job number.
- 3. Transport & GPS
- Daily Compilation: Collect information daily on employees traveling by the company van, as shared by drivers in the WhatsApp group.
- Monthly GPS Analysis: Retrieve and analysed GPS data monthly to track drivers ‘time on site and check for any personal use of the company van outside of work.
- Overtime Verification: Cross-check overtime claims made by drivers against GPS data.
