Job Description
Key Responsibilities
1. Payroll Administration
- Manage and coordinate the monthly payroll process.
- Collect, verify and process all payroll information within the required deadlines.
- Verify attendance, working hours, overtime, public holidays, allowances, absences and leave.
- Ensure payroll inputs are accurate and supported by the appropriate documentation and approvals.
- Process salaries, allowances, deductions and other payroll-related payments.
- Prepare and issue payslips.
- Verify payroll calculations and investigate any discrepancies.
- Prepare payroll reconciliations, reports and other payroll-related information.
- Ensure statutory deductions, contributions and payroll submissions are accurately processed.
- Liaise with Finance regarding payroll processing, payments and reconciliations and assist in budget preparation.
- Respond to employee payroll queries and resolve discrepancies promptly.
- Maintain accurate payroll records and supporting documentation.
- Maintain the highest level of confidentiality regarding salaries, payroll and employee information.
2. HR Administration
- Support the Director of Human Resources in the day-to-day activities of the HR Department.
- Maintain accurate and up-to-date employee files and HR records.
- Prepare employment contracts, letters, certificates and other HR documentation.
- Maintain and update employee information in the HR and payroll systems.
- Follow up on probation periods, contract renewals, confirmations and employee movements.
- Assist in preparing HR reports, statistics and Management information.
- Ensure proper filing and maintenance of HR documentation.
3. Recruitment & Onboarding
- Participate actively in the recruitment and selection process.
- Assist with advertising vacancies and sourcing suitable candidates.
- Screen applications and assist with interview coordination.
- Communicate with candidates throughout the recruitment process.
- Prepare the necessary documentation for new employees.
- Assist with induction and onboarding.
- Ensure that new employees provide all required documents and are correctly registered in the HR and payroll systems.
- Assist with other recruitment initiatives and projects as required.
4. Employee Welfare & Engagement
- Assist with employee welfare activities and initiatives.
- Support employee engagement programmes and staff activities.
- Assist employees with general HR-related queries and concerns.
- Contribute to initiatives aimed at improving the employee experience and workplace environment.
- Support the HR Department in maintaining positive relationships with employees.
5. Employee Relations
- Assist with attendance, leave, absence and other employee-related matters.
- Support the HR Director with employee relations matters where required.
- Assist with the preparation and administration of HR correspondence and documentation.
- Ensure that employee matters are handled professionally, fairly and confidentially.
- Promote good communication and positive working relationships within the organisation.
6. HR Development & Other Responsibilities
- Participate in various HR projects and departmental activities.
- Provide support across different areas of Human Resources according to operational requirements.
- Be willing to undertake a variety of HR responsibilities beyond payroll.
- Develop knowledge and competencies in different areas of the HR function.
- Work closely with the HR team and other departments to support the operational requirements of the hotel.
- Perform any other reasonable HR-related duties assigned by the Director of Human Resources.
Compliance
- Ensure payroll and HR administration are carried out in accordance with applicable Mauritian employment legislation, company policies and procedures.
- Maintain appropriate records for statutory, internal and external audit requirements.
- Assist in preparing information required by Management, auditors and relevant authorities.
- Ensure strict confidentiality and proper handling of personal, HR and payroll information.
Minimum Requirements
- Qualification in Human Resources, Management, Payroll, Accounting or a related field.
- Previous experience in Human Resources and/or payroll administration.
- Experience with Sicorax and Vipertec would be a definite advantage.
- Good understanding of payroll processes, attendance and working-time administration.
- Knowledge of Mauritian employment legislation and statutory payroll requirements would be an advantage.
- Good computer skills, particularly Microsoft Excel and HR/payroll systems.
- Strong numerical ability and attention to detail.
- Good organisational and time-management skills.
- Ability to work accurately and meet strict payroll deadlines.
- Good communication and interpersonal skills.
- High level of integrity, discretion and confidentiality.
- Flexible, proactive and willing to learn.
- Ability to handle several responsibilities and priorities simultaneously.
- Previous experience within the hospitality industry would be an advantage.
