In connection with the production team, as well as all stakeholders of the commercial team, the Travel Agent & Project Coordinator participates in, designs, and implements corporate events for external and internal clients.

The Travel Agent & Project Coordinator will need to imagine creative concepts and ensure the smooth execution and quality of the events through various tasks within their competencies.

Missions – Travel Agent

  • Manage Relationships: Handle commercial relations with airlines and SNCF.
  • Oversee Reservations: Manage hotel and ticketing reservations within budget via TravelApp.
  • Develop Transport Plans: Create customized transport plans based on client specifications.
  • Handle Group Requests: Manage and follow up on group requests from companies.
  • Track Ticketing and Visas: Monitor ticketing files and manage visa requests.
  • Ensure Compliance: Adhere to legal and regulatory requirements.
  • Collaborate on Projects: Track project progress with team members using Toms Planner.
  • Provide Budget Updates: Update clients on budget changes and cancellations.

Missions – Project Coordinator – "Reco" Period

  • Project Launch: Prepare and participate in launch meetings.
  • Communication: Maintain constructive communication with team members.
  • Follow-up: Participate in follow-up meetings.
  • Research: Research services, suppliers, and new concepts.
  • Supplier Management: Design specifications, send requests, and track offers.
  • Offer Analysis: Analyze and report supplier offers.
  • Program and Budget: Construct programs and build competitive budgets.
  • Presentation: Create and co-prepare client presentations.
  • Competitive Positioning: Ensure quality, price, and accuracy.
  • Database Maintenance: Update supplier and presentation database.

 

Project Coordinator – "Project" Period

  • Task Management: Update daily task list for event logistics.
  • Supplier Tracking: Maintain communication on project progress.
  • Supplier Relationships: Manage supplier relationships conceptually, logistically, and administratively.
  • Client Relationships: Manage client relationships with weekly reporting.
  • Deadline Management: Meet supplier deadlines and follow up on payments.
  • Offer Adjustments: Adjust supplier offers and report to the Project Pole Manager.
  • Event Schedule: Draft the event schedule and related communication materials.
  • Budget Management: Respect and optimize budgets.
  • Scouting: Organize and ensure on-site scouting.
  • Project Support: Support project accompaniment and meet event closure deadlines.
  • Client Feedback: Track and implement solutions based on client feedback.
  • Database Maintenance: Update supplier and presentation database.

 

General Missions:

  • Ensuring the confidentiality and proper use of sensitive data

 

Profile Requirement:

Experience:

  • Minimum of 3-5 years of experience in travel coordination and event management, or a related field.
  • Experience in working with travel booking systems, particularly Amadeus.

Skills:

  • Strong project coordination, organization, and management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in using event management software and tools (e.g., Toms Planner).
  • Strong organizational skills with the ability to manage multiple tasks and projects simultaneously.
  • Creative thinking and problem-solving abilities.
  • Strong negotiation skills and experience in managing supplier relationships.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Fluency in French and English; additional languages are a plus.
