Manage the front desk at the office:
- Answering incoming calls
- Provide people with information
- Direct visitors and engage in customer service
- Perform administrative tasks
- Liaise with suppliers and vendors
- Take delivery and manage office materials
- Track expenses, coordinate the procurement and inventory of stationery
- Assist the HR Department in administrative tasks as when and required
Manage Company Transport:
- Coordinate transportation resources
- Be the mediator between the transport contractor and the employees
- Handle all feedback and complaints from employees
- Review and revise the transportation schedules on a regular basis to ensure increased efficiency and to reduce costs
- Cross check and reconcile the transport billings
- Calculate billing transportation for each week
- Calculate transport breakdown for each month
- Send account department transport breakdown at the end of each month
Manage Building Facilities:
- Oversee all activities inside the building
- Liaise with the syndic / Landlord
- Supervise cleaning crews and maintenance workers
- Schedule all preventive maintenance tasks
- Respond to maintenance emergencies
- Handle all complaints regarding the building and take appropriate action to resolve the issues
- Track all the pending works to ensure that needful is being done on time
- Documenting processes and keep maintenance records and expenses trackers
- Liaise with suppliers and vendors regarding building products and office equipment
