Our client, an independently owned Trust company based in Black River, is looking for a Senior Company & Trust Administrator.
1.Client Relationship and liaison with Third party
- Administer a portfolio of entities as allocated by the Client Executive/Manager/Director.
- Assist with the administration of a portfolio of entities managed by other Administrators as assigned by the Manager/Director.
- Preparation for and attendance at client meetings when required.
- Provide quality service to clients and intermediaries.
- Liaison with investment advisors, asset managers, bankers and other third parties regarding client affairs as necessary.
- Respond to all client communications within 24 hours including holding email or telephone call as appropriate.
- Ensure mutual understanding of the clients’ expectations and commitments at the outset and throughout the relationship.
- To complete any terminations and transfer outs within 3 months or less depending on regulatory requirements and to ensure that any issues are brought to the attention of the Client Executive/Manager/Director.
- Completion of termination / transfer out checklist including termination pack to be filed.
- Internal remediation action points following file review such as missing resolution.
- Ensure that any missing documents or information are obtained within 1 month of the entity file review plus completion of tasks as they become due on the system of the company (and as otherwise required) and the review and control incomplete tasks until such are complete.
- Assist with the collection of any outstanding invoices
2. File Reviews
- Review of entity files and updating of relevant documents as and when they fall due.
- Completing any outstanding task identified during review.
3. Regulatory and Risk
- Perform screening using Screening Application.
- Prepare Client Risk Assessment for all new client entities which also includes but is not limited to:
- o Drafting of structure chart
- o Drafting of Country Identification Summary
- o Beneficial owner/settlor summary of wealth
- Assessing assets to be transferred/settled to the clients’ entities and ensuring full accounting records are obtained where necessary.
- Drafting of letters of wishes, trust deeds and constitutional documents for client entities as applicable.
4. Banking
- Processing of payments for client entities and handling call backs on payments with both the client and the bank.
5. Overall Responsibilities
- To maintain the highest standards of confidentiality as detailed in the employment agreement.
- Working in line with policies and procedures and ensuring consistency in service and standards.
- Maintain an awareness of jurisdictional statutory changes that could affect your client portfolio.
- To assist with any ad hoc assignments as required.
- To abide with the employee handbook detailing professional conduct.
- Compliance with internal policies and procedures as may be amended from time to time.
