The purpose of the role is to deliver excellent client administration to a portfolio of client trust and company structures and to support the Trust & Corporate Team as required.
KEY RESPONSIBILITES
- Client Service & Relationships
- General administration for a portfolio of entities including (but not be limited to);e-mail and telephone correspondence with clients and intermediaries; research and document recording; preparation of minutes and transactional documents for presentation to the client committee; arranging payments; assisting the accounts and bookkeeping team with any unclarified items or queries
- Maintaining and building good relationships with clients and intermediaries through quality service
- Responding to all client communications within 24 hours (including holding replies)
- Preparation for attendance at client meetings and preparation of post meeting file notesand board minutes when required
- Asist in the presentation of transactions to the Client Committee when required
- Completion of Terminations and Transfer outs within 3 months.
- Ensuring that any issues are brought to the attention of the client Manager/Director within the same period
Regulatory & Risk
- Ensure that any complaints, compliance and risk issues are reported to the Directors and Compliance as appropriate
- Complying with all Oak Group and Mauritius-specific policies and procedures, as amended from time to time Obtaining client due diligence where necessary for existing portfolio within 1 month of becoming non-compliant
- Maintain and update Client Profiles and Risk Assessments for your allocated portfolio
- Ensure that clients’ files (electronic and paper based) are organised, complete and up to date
- Oversee and conduct the necessary statutory filings with the relevant authorities, regulator and/or registered agent (as applicable) for clients
- Completion of tasks as they become due in Oak’s system and review and control incomplete tasks until such are complete
Investment monitoring
- Carrying out any remedial work or actions following investment performance appraisals conducted internally by the Investment Monitoring function or externally
- Completion of Investment Appendices when they become due
Time billing and collection of fees
- Collect fees due to Oak Mauritius within 1 month of invoicing
- Assist with debt collection of any overdue fees.
- To complete and input time in the time billing system daily, working to meet utilisation targets (percentage to be advised)
General Responsibilities
- Remain abreast of jurisdictional statutory changes that could impact your client portfolio
- Provide a C level signatory for Oak Mauritius
- Completing and inputting time in the time billing system on a daily basis
- Completing any other duties as may be required from time to time in accordance with the requirements of the role, team and evolving nature of the function

KEY COMPETENCIES & SKILLS
- Degree in Law, Finance, Business Administration or a related, relevant field
- 3-5 years experience in an administrative role ideally within Fiduciary Services
- Holds relevant Professional Qualification e.g. STEP, ICSA, ACCA
- Good understanding of fiduciary services business including the regulatory requirements
- Good IT skills, including practical experience of Microsoft Outlook, Word and Excel
- Good written and verbal communication skills Ability to work accurately with good attention to detail
- A flexible attitude towards work and a willingness to assist other members of the team as required
- Good time management, prioritisation and organisational skills
- Demonstrates drive, ambition & willingness to learn
- A proactive approach to work & the ability to work under own initiative
