A description of your main duties and responsibilities, however not exhaustive, is detailed below:
- Handle the telephone and reception desk in the most professional manner and as per the standards established at all times.
- Receive, direct and relay telephone calls, messages and fax messages effectively and efficiently.
- Assist the HR Department in all HR admin duties as and when requested. (Interview schedule, attendance records, fire warden reports, sick and absence report, head office reporting, insurance follow-up and any other HR reports and tasks as may be assigned).
- Greet, assist and direct visitors in the most professional manner to the appropriate channels.
- Open and date stamp all general correspondences.
- Assist in the planning and preparation of meetings, conferences, and conference telephone calls.
- Maintain an adequate inventory of office stationeries for all departments.
- Respond efficiently to public inquiries as and when required.
- Monitor the use of supplies and equipment as an when requested.
- Coordinate the repair and maintenance of office, equipment as and when required.
- Coordinate the work of cleaners / office attendants and ensure that offices, staff room and toilets are kept clean and tidy with all necessary requirement.
- Liaise with hotels and travel agencies for bookings.
- Perform administrative and secretarial duties such as input of attendance records and submit attendance reports accordingly.

- Coordinate with external stakeholders and suppliers.
- Perform any other cognate duties as and when required by management.
