Our client is seeking to recruit a Project Manager to join their team. The Project Manager will serve as a pivotal leader in orchestrating complex projects from initial concept through to successful delivery, ensuring alignment with strategic objectives and stakeholder expectations. This role requires a dynamic blend of strategic vision, deep technical understanding, and the ability to foster collaboration across cross-functional teams. The ideal candidate is proficient in agile project management, release coordination, functional analysis, and possesses a strong business acumen to align projects with organizational goals. Below is an expanded view of the key responsibilities:

Key Responsibilities:

Functional Analysis & System Strategies:

  • Lead comprehensive functional analysis sessions to understand project scope and requirements, bridging the gap between technical capabilities and business needs as outlined by our Chief Business Strategist.
  • Develop and implement detailed system strategies leveraging ERP tools (such as Odoo, SAP, or Oracle) to enhance process automation and ensure seamless system integration.
  • Analyse existing workflows, identifying opportunities for efficiency improvements and designing system strategies that address key business challenges.
  • Conduct “As-Is” and “To-Be” analysis to identify gaps and opportunities for improvement, ensuring alignment with the strategic direction of our organization.

Chief of Staff Responsibilities:

  • Act as a strategic partner to executive leadership, facilitating decision-making processes and ensuring effective communication across all organizational levels.
  • Coordinate with super stakeholders to implement strategic initiatives and manage high-priority projects.
  • Serve as a key liaison between super stakeholders and various departments, ensuring alignment of objectives and resources.
  • Drive organizational effectiveness through policy development and implementation.
  • Implement Workforce Governance and monitor comprehensive team-building initiatives to strengthen cross-functional relationships.
  • Manage contractor lifecycle including onboarding, performance monitoring, and documentation maintenance.
  • Coordinate with finance department for timely processing of payments and maintaining accurate records.

Administrative Process Maintenance:

  • Manage and monitor access controls while implementing robust security protocols for sensitive information.
  • Identify and eliminate redundancies in administrative workflows through regular process optimization.
  • Develop and maintain standard operating procedures with regular reviews along with ensuring compliance with established processes through consistent monitoring and reporting.
  • Coordinate with IT for system access requirements and maintain proper documentation along with implementing corrective measures for process deviations and maintain change logs.

Agile Project Management:

  • Implement agile frameworks like Scrum, facilitating sprints, retrospectives, and continuous delivery practices to ensure rapid and iterative development cycles.
  • Translate high-level project requirements into detailed user stories and epics, maintaining a well-groomed backlog that supports project priorities.
  • Drive the adoption of agile practices within the team, promoting continuous improvement and fostering a culture of transparency and accountability.

Release Management:

  • Manage the entire release lifecycle, coordinating across development, QA, and deployment teams to ensure timely and high-quality delivery of software releases.
  • Define and monitor release schedules, manage dependencies, and address potential bottlenecks, ensuring seamless rollouts across environments.
  • Develop risk mitigation plans to handle potential release challenges, ensuring minimal disruption to production environments and business continuity.

Cross-Functional Optimization:

  • Serve as a bridge between diverse teams, such as development, operations, finance, and compliance, ensuring collaboration and alignment on project goals.
  • Define and track key performance metrics (KPIs) to measure the success of cross-functional efforts, using data-driven insights to guide decisions and improve processes.
  • Lead workshops and collaborative sessions to resolve cross-functional challenges, promoting a cohesive and unified approach to project delivery.

Products Suite Validation:

  • Oversee the development and execution of comprehensive test plans, ensuring that testing efforts cover all scenarios and meet defined quality standards.
  • Coordinate with QA teams and subject matter experts to conduct User Acceptance Testing (UAT), validating that solutions meet business needs and compliance requirements.
  • Ensure timely preparation of testing environments (DEV, UAT) and provide ongoing support to resolve issues, ensuring a smooth transition from development to production.

Requirement Analysis:

  • Engage with Etta stakeholders to elicit detailed user requirements, translating them into Business Requirement Documents (BRD) and Functional Requirement Documents (FRD).\
  • Conduct feasibility studies to assess the technical and operational viability of proposed solutions, ensuring they align with business goals.
  • Continuously validate requirements throughout the project, ensuring that evolving needs are addressed and documented changes are communicated to the development team.

Budget Management:

  • Develop and maintain project budgets, tracking costs and identifying opportunities for cost-saving measures without compromising project scope or quality.
  • Prepare detailed financial forecasts, adjusting resource allocation to ensure that the project stays within financial parameters.
  • Provide regular budget updates to stakeholders, offering transparency into project expenditures and optimizing spending based on project priorities.

Startup Experience:

  • Apply past startup experience to manage projects with a sense of urgency, innovation, and adaptability in dynamic and fast-paced environments.
  • Cultivate a startup-like mentality within the team, encouraging creativity, agility, and rapid iteration in response to market and business needs.
  • Actively identify opportunities for new initiatives that can drive innovation and competitive advantage in the organization

Concept to Delivery Management:

  • Manage projects through their entire lifecycle, from initial concept, requirements gathering, and planning, through development, testing, and final delivery.
  • Develop detailed project plans, including Gantt charts, resource allocation, and critical path analysis to ensure all milestones are achieved on time.
  • Conduct post-project reviews to capture lessons learned and incorporate feedback into future project planning, ensuring continuous improvement.
