Personal Assistant to Hotel Manager

Works closely with the Hotel Manager to provide administrative support and helps him / her to make the best use of his / her time by dealing with secretarial, clerical and administrative tasks and follow up relevant issues with Head of Departments

 

1Take part in training and implement accordingly
2Play an active role in the team
3Keep his superior informed about all unusual matters concerning any plans affecting his/her area
4Meet and greets visitors at all levels of seniority
5Ensure high level of quality services are delivered at all times
6Establish and maintain effective employee relations
7Prepare requisitions of non-stock items (office amenities….)
8Compile KPIs report for all HODs as and when necessary
9Prepare gift voucher and stock request (stationeries) on WinHms system
10Prepare requisitions of non stock items (office amenities….) as and when necessary
11Draft, prepare and process a variety of documents, including letters, presentations, minutes of meetings and statistical reports
12Proactively filter, respond to and follow through on all queries and calls as well as open, sort and distribute emails as/when required
13Forward GSQ to relevant department and does follow up accordingly
14Proactively schedule and manage the HM’s agenda
15Devise and maintain office systems, including data management, accurate and confidential filing, etc…
16Screening telephone calls, enquiries and requests and handling them when appropriate
17Arrange travel and accommodation of managers whenever necessary
18Organize and attending meetings and ensuring the manager is well prepared for meetings
19Provide general assistance during presentations
20Input duty Roster for HODs on system and update if necessary
21Organize and storing paperwork, documents and computer based information
22Attend and monitor requests for offers/sponsorships of hotel
23Coordinate events, prepare invitations, follow up and liaise with Security for access purposes as and when required
24Comply with all the sustainability commitments and practices implemented within business units
25Notify the Sustainable Development Department of any matters that may pose any impact to the environment and society
