We are currently looking for an Office Administrator /Personal Assistant to the CEO on a full-time basis to handle secretarial and clerical duties.
Candidates applying for this position should only do so if they meet the following minimum requirements:
1. has a minimum of 2 years of working experience in an administrative position;
2. is a problem solver with excellent communication skills and a detail-oriented mindset;
3. is eager to learn and acquire new skills and knowledge;
4. is pro-active and solution oriented;
5. has the ability to work unsupervised or with minimum supervision;
6. has strong time-management and organizational skills and multitasking abilities;
7. has good command of English and French (both written and oral);
8. hands-on experience of Microsoft Word, Power Point and Excel; and
9. is able to work flexible hours in order to meet deadlines.
The main objectives of this role are to:
Provide assistance and support to the entire team on any ad-hoc tasks.
• Handle the telephone and reception desk in the most professional manner and as per the standards established at all times.
• Receive, direct and relay telephone calls, messages and fax messages effectively and efficiently.
• Greet, assist and direct visitors in the most professional manner to the appropriate channels.
• Open and date stamp all general correspondences.
• Assist in the planning and preparation of meetings, conferences, and conference telephone calls.
• Maintain an adequate inventory of office stationeries for all departments.
• Respond efficiently to public inquiries as and when required.
• Monitor the use of supplies and equipment as an when requested.
• Coordinate the repair and maintenance of office, equipment as and when required.
• Coordinate the work of cleaners / office attendants and ensure that offices, staff room and toilets are kept clean and tidy with all necessary requirement.
• Perform administrative and secretarial duties such as input of attendance records and submit attendance reports accordingly.
