The Human Capital Specialist is responsible to streamline HR operations and ensuring the efficiency of our HR processes such as assisting payroll processes, overseeing various Human Capital operational tasks, enforce our IR procedures, ensuring adherence to quality management systems and standards.
RESPONSIBILITIES AND DUTIES
Human Resources administration:
- Assist employees regarding their entitled leaves and update leaves record
- Collect all new hire documents and maintains accurate and up-to-date human resource files, records, and documentation
- Proceed to accurate digital filing
- Perform administrative and recordkeeping tasks related to staffing changes, which may include layoffs, resignations, terminations, contact information and other related employment matters
- Maintain the integrity and confidentiality of human resource files and records
- Create and updates employees on different HR databases
- Prepare monthly payroll changes and update Payroll and Administrative Officer on the staff movement
- Assist with the administration of employee benefits, which may include collecting and submitting employee information and notice of change in status to health and pension, ENL Card privilege and other insurance carriers or insurance brokers
- Follow up of probation for new-comers and internal promotions
- Assist employees to sign on all recurring policies from Axess and ENL
- Update all policies and processes regarding employee administration
- Assist in planning and implementing Welfare projects & initiatives
- Cultivate a positive work environment that aligns with the company's values and goals.
- Support Axess "Employer of Choice" branding strategy to attract and retain high-quality candidates by participating in job fairs and fostering relationships with education providers and vocational bodies
HR Reporting
- Prepare the monthly HR Reports and analysis
- Compile HR metrics
Employee and Industrial Relations
- Advise managers on disciplinary policies and actions
- Prepare disciplinary reports
- Assist Industrial Relations issues (Statements, Warnings, DC report)
- Update all policies and processes regarding to employee relations
- Assist managers and employees and equal opportunity policy and other related policies
- Perform regular Gemba walk to establish contact with employees of all levels and detect any opportunities for improvement, answer queries, pass on important messages etc
HR project
- Assist in HR related projects
Compliance with Quality Management Systems
- Ensure compliance with relevant employment laws, data protection regulations, and health and safety standards
- Align HR procedures with quality management systems, document procedures, and ensure adherence to established processes
- Monitor and reduce the number of non-compliance instances and non-conformities
KEY COMPETENCIES
- Excellent verbal and written communication skills
- Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
- Excellent organizational skills and attention to detail
- Proficient with Microsoft Office Suite or related software
- Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications
EXPERIENCE, EDUCATION AND KNOWLEDGE
- Minimum a bachelor's degree in related field required
- Minimum 5 years' related office experience
