Key Responsibilities:

We are seeking a proactive and organized HR Assistant to support the HR Manager and contribute to our company’s growth. The ideal candidate will have strong organizational skills, a solid understanding of HR processes and labor laws, and the ambition to excel in a dynamic environment.

This position provides a significant opportunity to contribute to the company's future development. The key responsibilities include, but are not limited to:

Administrative Duties:

  • Provide general administrative support to the HR Manager, including employee paperwork and policy management.
  • Assist in the creation of training and onboarding materials.
  • Process employee data, update company policies, and assist in HR paperwork and coordination.
  • Ensure that employee records are accurate and up-to-date.
  • Organize and maintain employee files in a structured and accessible manner.
  • Assist employees in finding general answers to their questions.
  • Attend meetings with the HR Manager and take minutes, draft reports, and prepare agendas for follow-up actions.
  • Ensure all job descriptions are current and signed.
  • Assist the HR Manager in preparing the employee handbook.
  • Escalate significant employee queries or personal matters to the HR Manager.
  • Assist management in investigating work-related illnesses, injuries, and accidents.
  • Maintain updated information on employee healthcare schemes.
  • Keep accurate records of employee leave.
  • Manage expatriate employee files and assist with the application process for occupation permits at the EDB.
  • Collect and maintain payroll data confidentially.
  • Provide daily administrative support to management.
  • Organize and follow up on employee birthdays and work anniversaries.

Discipline & Internal Compliance:

  • Ensure employees adhere to company rules, regulations, labor laws, procedures, and internal policies.
  • Enforce the company’s rules and regulations and maintain discipline among employees.
  • Escalate compliance issues to managers and communicate them effectively to staff.
  • Establish methods for tracking HR-related regulations and laws affecting daily operations.
  • Draft procedures, processes, and policies to enhance compliance within the company.
  • Promote smooth and effective communication between all members of the organization across all departments and management levels.
  • Support management in handling disciplinary and grievance issues.
  • Track employee attendance and punctuality, providing daily reports to management.
  • Ensure all employees comply with company policies and procedures.
  • Escalate employee questions and issues to the HR Manager.
  • Perform any other duties as assigned that are relevant to the role and business needs.
Qualifications
  • As a bachelor degree holder in Human Resources Management or a related field, you have at least 2 years of work experience as an HR Assistant or in a similar role.
  • You have strong knowledge of labor legislation and understanding of disciplinary procedures.
  • On a technical dimension, you are proficiency in Sicorax, Microsoft Office, Google Workspace, MS Teams and other relevant software.
  • You have excellent interpersonal, time management, organizational, and multitasking skills.
  • You have strong verbal and written communication skills in both English and French.
  • You excel at working independently under pressure, are proactive, punctual, and reliable, and maintain high standards of grooming and personal hygiene.
  • Possession of a valid driving license is an advantage.
