The Food & Beverage Secretary carries out all secretarial duties in a professional and courteous manner in assisting the Culinary Director to develop, maintain or improve communication for incoming and outgoing information, to professionally operate the Food & Beverage & Kitchen Department.

 

A Food & Beverage Secretary provides the Team with administrative support, including filing, answering telephones, taking messages, maintaining appointment calendar, making travel arrangements, internal customer service, taking reservations, assist in planning of roster and other general office duties. Specifically you will be responsible for performing the following tasks to the highest standards:

  • Maintains the standards of performance as detailed in the Departmental Operations Manual to ensure the efficient operation of the department in accordance with Hotel Policy.
  • Implement and update systematic filing system for all food & beverage records.
  • Maintain ambassador details on file, including contact details, vacation plan, PH & leaves balances.
  • Maintain all details related to joining date of new team members
  • Co-ordinates with colleagues whenever necessary regarding operational problems.
  • Participates in regular meetings and briefings as may be scheduled and takes notes to be documented and filed.
  • Review status of work and follow-up actions required with the Culinary Director on a daily basis
  • To handle confidential and classified material and ensure to keep the code of confidentiality at all the times and maintain professional office etiquette and discretion.
  • Establish and maintain professional and effective communication channel within the Food & Beverage, Kitchen Department and the other departments.
  • Record office equipment, forms, stationary and other supplies requires for use by Food & Beverage & Kitchen Department
  • Understands and abides by all safety rules, emergency procedures and fire prevention regulations.
  • Maintains all documentation related to Food & Beverage & Kitchen audits
  • Participates in any scheduled training and development program that may improve personal or departmental standards.
  • To provide paper work for any requisition within the hotel such as : Purchasing requisition, Work order for all outlets
  • Handle all correspondence and filing in Food & Beverage office.
  • Maintain and manage the daily appointment on behalf for the Culinary Director
  • Arrange/take minutes in all Food & Beverage related meetings.
  • Maintain good relationship with the Food & Beverage & Kitchen brigade
  • To communicate with team member through bulletins board and present the hotel activities and information for all teams.
  • Fully conversent with time and attendance management like AGV Vipertex for all Culinary Departments
  • Assist in taking in restaurant reservations for all outlets.
