We have a key opportunity for an Executive Secretary (to the CEO) to join our Team. The latter will provide essential support to our CEO and play a crucial role in organising and maintaining the CEO’s schedule.

Job Profile

We have a key opportunity for an Executive Secretary (to the CEO) to join our Team. The latter will provide essential support to our CEO and play a crucial role in organising and maintaining the CEO’s schedule. He/She will ensure the overall efficiency of the organisation through timely and effective administrative assistance provided to the CEO.

Role & Responsibilities

  • Arrange and coordinate meetings and events, prepare agendas, and perform minute taking, typing, classification and retrieval of records and documents.
  • Act as a point of contact between the CEO and the internal/external stakeholders.
  • Provide support in the development and implementation of strategic plans.
  • Prepare and review documents, reports, and presentations for accuracy and completeness.
  • Conduct research and prepare presentations/reports as assigned.
  • Track the progress of projects and report updates to the CEO.
  • Maintain the CEO's calendar, including scheduling appointments, meetings, and travel arrangements for business activities.

Qualifications & Experience

  • A Bachelor’s degree in Business Administration or any other equivalent qualification.
  • At least 5 years’ experience in a similar position.

Knowledge, Skills & Attitude

  • Good understanding of document management systems and electronic filing.
  • Familiarity with scheduling techniques and travel arrangements.
  • Proper telephone communication etiquette.
  • Very good verbal and written communication in both English and French.
  • Proficient with Microsoft Office Suite or related software.
  • Strong work ethics and ability to handle confidential information with integrity.
  • Very good organisational and time management skills.
  • Attention to detail.
