We are looking for an Executive Assistant to manage our Port Louis Office and assist the Regulated Canadian Immigration Consultant (RCIC) in his functions.

 

+ Essential Job Functions

  • Maintain effective communication with stakeholders in office and via phone and email.
  • Arrange, coordinate and conduct seminars and conferences.
  • Maintain organized and up-to-date electronic filing systems.
  • Build solid client relationships by taking ownership of and showing initiative with all administrative tasks assigned to this role.
  • Schedule client meetings, consultations, and maintain RCIC’s calendars.
  • Establish and document office procedures and task lists.
  • Collect and proofread documents and correspondence to ensure compliance with legal procedures.
  • Ad-hoc tasks as per RCIC’s request.

 

+ Education and Experience

  • Minimum requirement would be a graduate.
  • At least two years working experience in similar role.
  • Excellent communication skills.
  • Comfortable with Microsoft Office Tools.

+ Working Conditions

  • Hours of work: 10am to 4pm in Port Louis once and additional 2 hours flexible remote work Monday to Saturday.
  • Overtime expectations: Overtime is expected as and when required, mostly remote.
  • Work environment: Open concept office set up with laptop and phone to be carried home.
  • Travel requirements: Events around Mauritius and daily in office presence
  • On-call responsibilities: On-call Sundays if required
  • Special conditions or requirements: Ability to work on weekends and being flexible with working hours

  • Workplace policies such as confidentiality agreements, non-disclosure agreements, or conflict of interest policies may apply.
  • Training will be provided to ensure compliance with these policies or agreements
  • Employee would not be able to engage in any other practice or work activities, unless approved by the directors

 

+ Evaluation and Review

  • Probation period and permanent hiring
  • Performance evaluated annually
