The RPSS Contract Specialist is responsible for ensuring all Purchase requests are converted to Purchase orders and for the establishment and administration of logistics contracts in all approved systems and tools.
Key Roles and Responsibilities
Distribute PRs
•Receive and open PRs
•Perform quality checks within the PRs and reject these in case of wrong PRs
•Indicate to the requestor the correct way of creating PRs in case of wrong PRs
•Match Text PRs to existing contracts or catalogues
•Send valid PRs to Category Leads/Spot Buyers or PO Creation Specialists according to category rules in place
Create POs according to category rules
•Create POs, including retroactive ones
•Ensure the accuracy of the suppliers, price, ETA details on the PO
•Notify suppliers of Emergencies
Administer the Establishment of Contracts
•Verify completeness of contract upload request forms
•Work with relevant stakeholders on providing all required data for contracts
•Create/Upload contracts and in system tools
•Upload contracts in contract repository
Enable Contract
•Obtain approval for uploaded contract and catalogue content
•Release contracts / unlock catalogues for use
Contract compliance / General Activities
•Close out expired or no longer desired contracts
•Ensure the correct archiving of all related request especially for audit purposes
Qualifications and Behavioural Competencies
•Undergraduate degree in management, procurement, commercial or equivalent
•Good understanding of sourcing tools (SAP, SRM, etc )
•Analytical skills
•Ability to conceptualize business impact focused analytics
•Communicating effectively by conveying information and ideas in a clear, meaningful, and timely manner, providing information to ensure understanding; solicit inputs and provide open candid conversations.
•Establishing collaborative working relationships
•Able to work on own initiative and prioritize workload effectively
