The Administrative and Logistics Agent is integrated into the industry department at Transinvest.This role is vital to ensure the smooth administrative and logistical functioning of production operations, stock management, and supplier relations.
Main Responsibilities:
- Data Management and IT:
- Enter and update data related to production, stock, and orders in the company’s IT systems.
- Analyse and process the collected data to ensure its accuracy and optimal use.
- Generate regular reports based on this data for the management and production teams.
- Order Management and Supplier Follow-Up:
- Assist in managing purchase orders: creating, sending, and following up on orders with suppliers.
- Ensure the accuracy of deliveries and associated documents (delivery notes, invoices, etc.).
- Maintain ongoing communication with suppliers to ensure timely deliveries and the quality of goods.
- Financial Tracking and Forecasting:
- Contribute to the updating of financial forecast tables in collaboration with the Asphalt/Extrusion department managers.
- Help prepare budgets and monitor expenses to ensure financial objectives are met.
- Analyse discrepancies between forecasts and actual expenses and suggest solutions for cost optimisation.
- Production Statistics and KPI Tracking:
- Calculate and generate production statistics based on key performance indicators (KPIs).
- Produce daily, weekly, or monthly reports to track production performance.
- Identify trends or anomalies in the data to support decision-making aimed at improving productivity.
- Daily Production Monitoring:
- Ensure daily production tracking to meet production targets.
- Collaborate with the asphalt and extrusion site managers to gather information on production progress and identify potential issues.
- Address any administrative or logistical problems that may affect the smooth running of operations.
- Stock Management:
- Monitor stock levels of materials and equipment necessary for production.
- Update inventories and alert relevant parties when restocking is required.
- Organise and optimise storage of products and materials to ensure effective resource management.
Required Skills and Competencies:
- Proficiency in IT tools, particularly Excel, and experience with production and stock management software.
- Strong organisational skills, attention to detail, and the ability to work independently.
- Ability to work under pressure and meet deadlines.
- Excellent communication skills and the ability to collaborate effectively with various departments and suppliers.
- Strong analytical skills and the ability to produce clear and precise reports to aid decision-making.
