Exchange Lounge Ltd, situated Ground Floor, 7 Exchange Square, Wall Street, Ebene, Mauritius, is seeking a highly organized and detail-oriented Administrative Executive to provide essential administrative support and assist with the smooth running of our office operations.

 

 As an Administrative Executive, you will be responsible for managing office tasks, supporting the leadership team, coordinating communications, and ensuring the efficiency of daily operations. This is an excellent opportunity for someone looking to grow in a dynamic and fast-paced environment.

Key Responsibilities:

  • Provide administrative support to the leadership team, ensuring the efficient operation of the office.
  • Handle correspondence, including emails, phone calls, and letters, and direct them to appropriate departments or individuals.
  • Schedule and coordinate meetings, appointments, and travel arrangements for senior staff.
  • Organize and maintain office filing systems (both digital and physical) to ensure easy access to important documents.
  • Prepare and process documents, reports, presentations, and other materials as required.
  • Assist in preparing and managing budgets, tracking expenses, and preparing financial reports.
  • Monitor office supplies and place orders for necessary items to ensure the office is well-stocked.
  • Coordinate and support internal and external events, such as meetings, conferences, or training sessions.
  • Act as a liaison between departments and communicate effectively to ensure smooth operations.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Perform basic human resources functions, such as maintaining employee records and assisting with onboarding processes.
  • Assist in project management, providing support with timelines, tasks, and documentation.
  • Help with data entry, report generation, and maintaining databases.
  • Provide support in managing office facilities and ensuring compliance with health and safety regulations.
  • Perform other administrative duties as required by senior management.
  • Be in charge of procurement activities and role.
  • Handle correspondence and manage appointments.
  • Input data on POS system and ensure stock management.

Qualifications:

  • 1-2 years of experience in an administrative or executive assistant role including experience in procurement role.
  • Strong organizational and time-management skills with the ability to handle multiple tasks and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace.
  • High attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Strong interpersonal skills and the ability to interact professionally with colleagues, clients, and external vendors.
  • Discretion in handling confidential information.
  • A proactive and flexible attitude to work.
  • A degree/Diploma in business administration, management, or a related field is preferred but not required.
