Join Our Team as an Administrative Assistant! Are you passionate about travel and looking to start a career in the travel industry? Look no further! Silver Wings Travels Ltd, a reputable DMC and travel agency, is seeking a detail-oriented and organized Administrative Assistant to join our team.

 

Responsibilities:

Administrative (Front office)

  • To respond to and take ownership of calls from both internal and external customers in a timely, efficient and courteous manner.
  • Provide a professional customer focussed and efficient Reception service.
  • Report to the management and the concerned person on any complaints or service issues reported by the customer.
  • Organise despatches and correspondences and proper recording of incoming and outgoing correspondences.
  • Deal with queries from staff and visitors in a helpful and courteous manner.
  • Responsible for maintaining the professional appearance of the reception desk and visitors’ waiting areas.
  • Maintenance of switchboard directory and any other miscellaneous tasks relating to switchboard functionality.

Administrative (Back office)

  • Prepare attendance report for staff every month.
  • Monitor overtime application process on Sicorax, both online and manual, for all departments
  • Verify and monitor leaves record process on Sicorax ESS and provide monthly report.
  • Monitor and replenish supplies for kitchen, Mess room & bathroom
  • Manage stationaries for the office Administration
  • Issue purchase orders for office (admin matters)
  • Messenger Planning – Ensure task allocation for every day including but not limited to bank related tasks, Postage, Despatch, work related errands, office opening and closing, etc.
  • Manage the cleaning process of the office and the cleaning resources

Data Controller Office

  • Coordinate implementation of procedures
  • Amend and Update procedures as advised by the General Manager
  • Keep record and ensure filing of all elements relating to Data Protection

 Training

  • Prepare training reports as required by CJHR and department heads
  • Ensure application for HRDC refund for all MQA approved training.

Requirements:

  • HSC Holder
  • Proficiency in MS Office (MS Excel, MS Word and MS PowerPoint, in particular)
  • At least 1 year’s working experience in a similar position
