Provides administrative support to ensure efficient day-to-day running
Duties and Responsibilities:
- Support Admin Team by carrying out administrative duties such as filing and proper maintaining of documents and records for all tasks assigned
- Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies
- Signs, maintains and documents records appropriately attesting to the inspection, receipt, issuance and remaining balances of stock
- Recommends the replenishment of stocks based on established minimum quantities and, when necessary, the modification of warehouse procedures and regulations
- Confirm that orders contain the correct items/supplies numbers and quantity of items/supplies to match the transfer documentation before delivery to internal departments.
- Assist in checking of loading of trucks and compares information and count items of incoming supplies to verify information and ensure all items received match corresponding Purchase Orders and invoices.
- Reject and take appropriate action for any inconsistency between purchase orders and supplies received.
- Constant follow-ups with Procurement department to ensure that all orders reach in due time.
- Ensure that warehouse is up to required standard and well organized and labelled to facilitate day-to-day running and inventory process
Candidate’s Profile:
- Hold at least a Higher School Certificate
- Strong interpersonal skills
- Knowledge of word processing and spreadsheet programs
- Organizational skills
- Be an active learner
