Our client in property development is looking for an Admin Executive.
Position Overview: Acting as the primary liaison between clients, real estate agencies, and legal professionals, this role involves managing administrative tasks related to property development. This includes coordinating with stakeholders, handling legal documentation, and ensuring permits and approvals are obtained and tracked to support smooth project progression. Additionally, the Admin Executive provides overall administrative support to the team, ensuring timely completion of tasks and maintaining accurate records.
Role and Responsibilities
- Client Liaison: Act as the primary point of contact for clients, guiding them through the purchasing process for residential projects, and ensuring that all necessary documents are completed and submitted in a timely manner.
- Coordination with Real Estate Agencies: Liaise with real estate agencies to collect and verify client documents for the purchase of residential projects.
- Legal Documentation Management: Work closely with notaries to manage all legal documentation required for the property development process, including purchase agreements and other legal contracts. Book meetings with notaries for signatures of CRPs, Acte de vente, and other required documents.
- Administrative Support for Property Development: Manage all administrative tasks related to property development, including tracking and securing necessary permits and documentation to initiate and continue project development.
- Permits & Documentation: Coordinate and follow up on obtaining permits, approvals, and other essential documentation needed to launch and progress property development projects.
- Follow-Up & Record Keeping: Ensure thorough follow-up on all administrative tasks, maintaining accurate records and documentation for each development project.
- General Administrative Duties: Provide overall administrative support to the team, assist in organizing meetings, managing correspondence, and ensuring all project documentation is up to date.
- Documentation and Record Keeping: Maintain accurate and up-to-date records of customer interactions, feedback, and issue resolution in the CRM system or other designated databases.
Qualifications and Education Requirements
- Diploma in Administration, Management, or a related field (or relevant work experience).
- Well verse in the use of information system, i.e MS office, Outlook, CRM
- At least 2 years’ experience in a similar position
Preferred Skills
• Good communication skills, both written and spoken.
- Good time management skills and the ability to prioritize work
- Strong organizational skills with the ability to multi-task
- Familiarity with real estate industry practices, regulations, and post-sales processes is advantageous.
