Key Responsibilities:
As a Broking Assistant, you will play a crucial role in supporting our brokerage team and ensuring smooth operations. Your key responsibilities will include:
Broking & Placement Support:
- Document Preparation: Assist brokers in preparing and quality-checking key reinsurance contract documents, including slips, cover notes, and endorsements.
- Documentation Tracking: Proactively monitor the status of pending documentation, liaising effectively with clients and underwriters to ensure timely completion.
- Workflow Management: Manage document workflows efficiently, including uploading finalised documents to designated platforms and maintaining strict version control.
- Record Keeping: Maintain accurate and organised electronic/physical filing systems, ensuring efficient document retrieval and adherence to protocols.
- Renewals Support: Support the preparation of renewal documentation packs and assist in managing submission timelines with cedants and reinsurers.
- System Updates: Maintain and update reinsurance placement tracking systems with real-time status information.
- Reporting: Compile data and assist in preparing summary reports for reinsurer meetings and internal reviews.
- Scheduling: Manage calendars and coordinate the scheduling of internal and external meetings (cedants, reinsurers, colleagues).
- Compliance Adherence: Ensure all prepared and managed documentation strictly adheres to internal compliance standards and relevant regulatory requirements.
Team Collaboration & Operations:
- Broker Support: Provide ad-hoc administrative and operational support to brokers for active reinsurance placements and client servicing activities.
- Cross-Departmental Liaison: Collaborate effectively with other internal departments (e.g., Finance, Compliance, Claims).
- Process Improvement: Actively contribute to identifying and implementing improvements in placement execution and documentation workflows.
- Onboarding Support: Assist with the operational onboarding of new clients and reinsurers into company systems.
Professional Conduct:
- Confidentiality: Uphold the strictest confidentiality regarding all client, placement, and company proprietary information.
- Continuous Learning: Actively develop your understanding of key (re)insurance terminology, market practices, and placement structures to enhance your effectiveness in the role.
Profile of Candidate:
- Degree Holder in Management, International Business, Communication, Finance, or any related field.
- 1 to 2 years working experience in a similar position
- Excellent organizational skills and attention to detail
- Effective communication and interpersonal skills
- Proficient in using claims management systems and MS Office Suite
- Ability to multitask and prioritize work in a fast-paced environment
- Ability to work independently and collaboratively as part of a team
- Proficiency in English and French (both verbal and written)
