Speaks clearly, distinctly, and with a friendly, courteous tone. Uses listening skills to put callers at ease and obtains accurate, complete information. Answers incoming calls and directs them to guest rooms through the telephone console or to hotel personnel or departments.

 

Duties and Responsibilities

  • Monitors any abuse use of telephone
  • Be well groomed and have a neat appearance while on duty
  • To deal with any other business related to the hotel Reservation
  • Fill-in telephone summary sheet
  • Welcome guests in a polite way speaking with a nice tone
  • Use language of caller whenever possible
  • Ensure that all wake-up call are carried out on time
  • Beep senior family members when needed
  • Use guests and caller’s names to provide personalised service
  • Must ensure that the equipment on the switchboard counter is in perfect working condition, clean and tidy
  • Must regularly check that non-authorised persons are not allowed at the switchboard counter
  • Must ensure that all relevant documents and information for the day is available and accurate
  • Must remain abreast of all happenings within the hotel and any other social or religious events
  • Ensure that VIP room numbers are clearly marked on the switchboard
  • Seeking for any opportunity to obtain feedback, on guest appreciation on the different services and facilities offered by the department, and take appropriate steps whenever needed to provide a better service.
  • Attending to any guest’s/ visitor’s query, dissatisfaction calmly, professionally and in a proactive manner (according to the hotel’s established standard and procedures), and if in doubt –refer the person to his/ her immediate superior.
  • Doing the appropriate follow-up (either in person or by phone) to any guest needs, query, comments, suggestions or dissatisfactions.
  • Going the extra mile in giving satisfaction to the least requirements of any VIP, guest or visitor.

Qualification

  • Qualifications: SC
  • Experience: 1 year as Receptionist 
  • Personal Qualities: Professional personal presentation
