The Purchasing Officer is responsible for ordering products, services, and raw materials for the company or organization. purchasing officers maintain stock levels, and may also conduct research, negotiate with vendors, and interview prospective suppliers

 

Duties & Responsibilities
  1. Process purchase requests for Operating equipment, Beverage, Flower as per assigned by Materials Manager.
  2. Follow up & process the PR, PO; inform users if variance happens, take corrective action or  find  alternatives.
  3. Ensure Vendor Creation Form is creating correctly and properly documented with sufficient information required.
  4. Key quotations in system and allocate prices correctly
  5. Work closely with relevant departments (e.g. KIT, F&B, HK…) for purchase the items correctly.
  6. Prepare comparison file for products that require more attentions and follow up the delivery.
  7. Sourcing product and services as per required by superior, and able to make recommendation.
  8. Filing PO and Purchasing document in orderly. Ease to track and follow up.
  9. Organize work and work place in professional way.
  10. Work closely with Finance in case of supplier follows payment, commercial invoices.
  11. Work closely with Receiving on delivery and closing PO.
  12. Report & update the process of PRs & POs to Material Manager as assigned
  13. Any other jobs that may be assigned by the Materials Manager/Assistant Purchasing Manager from time to time.
General
  1. To safeguard company assets at all times.
  2. To ensure adherence to internal controls, policies and procedure.
  3. To report any breach of internal controls, policies and procedures to the appropriate superior.
  4. To report for duty punctually wearing the correct uniform and name tag at all times.
  5. To maintain a high standard of personal appearance and hygiene at all times.
  6. To attend briefings and meetings as requested.
  7. To have a complete understanding of the hotel’s procedures in respect to health, hygiene and safety.
  8. To attend all training scheduled, even if this should fall outside of regular working hours.
  9. Any other reasonable task as directed by the management.
