Job purpose
Main purpose of the job: perform the day-to-day administrative duties of the company, provide support to the sales, and store operations.
Duties and Responsibilities
- Providing general administrative support to ensure efficient operation of the office.
- Answering, screening, and forwarding incoming phone calls.
- Handling incoming and outgoing correspondence, including mail and emails.
- Managing and organizing files, records, and documents.
- Assisting in the preparation of contract agreements, reports, presentations, and other documents.
- Scheduling appointments and meetings and managing calendars.
- Ordering office supplies and maintaining inventory levels.
- Assisting with various administrative tasks as needed.
- Update and maintain client’s database on the systems, the server, and documents.
- Coordinate with the Sales and Technical Teams to retrieve the surveys sheets and interventions cards.
- Provide support with the Sales Quotations and follow-up for the Sales, and Management.
- Inform the Store about stock requirement for new installations and coordinate purchases.
- Monitor the invoicing and follow-up of payments from clients with the Accounts Department.
- Liaise with the suppliers for the pricelist and purchases of equipment and materials.
- Ensure smooth communication between the Administration, Sales, Technicians, and Management.
Qualifications and experience
- At least HSC
- A previous experience in administration
- An experience in sales would constitute an advantage
