Core responsibilities:
- Provides daily support the department.
- Carries administrative duties such as filing, typing, copying, binding, scanning etc.
- Oversees & liaises with the reception regarding booking conference calls, rooms, taxis, couriers etc.
- Monitors and orders amenities & items on behalf of the company
- Maintains computer and manual filing
- Handles sensitive information in a confidential manner
- Takes accurate minutes of meetings as and when required
- Coordinating office procedures under the supervision of supervisors
- Provides support in developing and updating the departments’ systems for more efficiency
- Assists in overseeing the work of attendants/drivers and cleaning staff
- Assists in the orientation process of new joiners
- Assists with the enforcement of policies and protocols
- Follows up on related matters pertaining to Administration under the guidance of supervisors
- Provides support to the receptionists and the reception;
- Replace at the reception when Receptionists are absent
- Replace at the reception at any other time as and when required
- Operating the PABX; answer telephone, screen and direct calls
- Take and relay messages efficiently
- Provide information to callers
- Greet persons visiting the company
- Provides proper direction to clients depending on queries and needs
- Is able to properly deal with queries from the public and clients
- Ensures knowledge of staff movements in and out of organization
- General administrative and clerical support
- Prepare letters and documents as and when required
- Organize internal and external dispatch
- Schedule appointments using outlook & maintain appointment diary either manually or electronically
- Manage meeting rooms & organize meetings effectively
- Keeps and maintains the reception area and boardrooms tidy and well organized
- Manning the Front Office as and when required
