The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks.

 

Duties and Responsibilities

 

• Provides administrative support to ensure efficient office operations.

• Follow up on Production Planning and prepare reports for weekly meetings or as required;

• Coordinate the purchase for monthly office expenses and stationaries for staffs;

• Responsible for the procurement of items for the good running of the work operations;

• Recording of invoice and cash transactions on accounting software (Quick Book),

• Handling office tasks, such as filling, generating reports and presentation and setting up for meetings;

• Approved and signed suppliers’ invoices and submit to accounts department for processing;

• Handling of petty cash and follow up on payment to stakeholder

•Answers phone calls and directs callers to appropriate personnel, schedules appointments, and assists clients and other visitors;

• Responds to emails and other digital queries and correspondence;

•Drafts and edits letters, reports, and other documents;

•Prepares meeting agendas and takes meeting minutes;

•Coordinates logistics for meetings, including room setup;

•Uses word processing and presentation software to create and edit documents;

• Works closely with other administrative staff and supports other colleagues as needed;

•Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations;

• Ensures that deadlines are met and adapts to changing priorities;

•Maintains a professional communication to stakeholders and presents a positive and professional image for the organization;

•Responds to and resolves administrative queries and cascade information to HR department (Where applicable);

•Ensure follow up of quality audit

• Attend customer complaints and ensure follow up with Plant Head

•Chase local customers for orders and ensure follow up of deliveries

• Coordinate with Plant Head for WMA samples or other related tests;

• Performs other related duties as assigned.

 

Qualification and Experience

 

Atleast 3 years of experience in a similar role

Holder of a diploma/ Degree
