Main Function:
As a Telephonist/Switchboard Operator, you will play a crucial role in managing incoming and outgoing calls within our organization.
Responsibilities will include:
- Answering Calls: Receive and direct incoming calls to the appropriate person or department whilst maintaining the Company’s established standards.
- Operating Switchboard: Connect outgoing calls or relay internal calls.
- Providing Information: Offer directory information, and when so required, take good note of customers’ queries and/or complaints, provide reassurance of proper follow-up by the concerned parties, and relay the information gathered promptly.
- Reporting Faults: Identify and report any faults on the telephone operating system.
- Emergency Response: Alert the relevant services/authorities in cases of emergencies.
- Assistance to Aftersales Services: (i) develop a thorough understanding of the organization and processes of the Motor Vehicle reception and service advisor teams to ensure a fluid and efficient communication internally as well as to the customer(s). (ii) In the absence of aftersales staff, attend to customer’s request for appointments and input on the system.
Qualifications:
- High School Diploma: A basic educational background is advantageous.
- Experience: Relevant work experience in a similar role is beneficial.

- Clear communication and understanding of written and numerical information.
- Excellent Telephone Manner: Friendly, professional, and confident when interacting with callers.
- Customer Service Skills: Outstanding customer service skills to assist callers effectively.
- Basic IT Skills: Familiarity with basic office equipment. Experience with a CRM will be a definite advantage.
- Adaptability: Ability to use initiative when screening calls and handling various situations.
