Job Description
C-Care Mauritius is currently looking for a Administrative Assistant.
Reporting to the Medical Services Manager, the Administrative Assistant will provide comprehensive administrative and clerical support to the Medical Services Department. The incumbent will ensure the efficient coordination of departmental activities, maintain accurate records, support medical staff administration, assist with regulatory and accreditation requirements, and facilitate effective communication between medical practitioners, hospital departments, and external stakeholders.
What you will be doing:
- Provide administrative support to the Medical Services Department, including correspondence, document preparation, filing, and record management.
- Coordinate meetings, medical committees, and departmental events, including scheduling, preparation of agendas, minute-taking, and follow-up on action items.
- Maintain and update medical staff records, credentials, licenses, registrations, and other compliance-related documentation.
- Assist in the onboarding and administrative processing of medical practitioners, visiting consultants, and locum doctors.
- Monitor and maintain departmental databases, reports, and performance indicators.
- Prepare monthly reports, presentations, and statistical data as required by management.
- Ensure proper documentation and filing in accordance with hospital policies, regulatory requirements, and accreditation standards.
- Liaise with internal departments and external stakeholders, including healthcare professionals, regulatory bodies, and service providers.
- Support the coordination of medical staff schedules, leave records, and departmental rosters where applicable.
- Assist in the management of departmental procurement requests, invoices, and budget-related administrative tasks.
- Handle confidential information with the highest level of discretion and professionalism.
- Support quality improvement initiatives, audits, inspections, and accreditation activities.
- Ensure effective communication and follow-up on departmental projects and operational matters.
- Perform any other administrative duties assigned by management in line with departmental objectives.
- Be the intermediary to matters pertaining to the Mauritius Medical Council.
- Assist the Medical Services Manager to organise CMEs.
Qualifications & Experience:
- Diploma or Degree in Business Administration, Management, Healthcare Administration, or a related field.
- Minimum of 2–3 years' experience in an administrative role, preferably within a healthcare or hospital environment.
- Experience in handling confidential documentation and coordinating multiple administrative functions.
- Knowledge of healthcare administration and medical staff processes would be an advantage.
