Job Description

Support the smooth and efficient running of office and project-related operations by coordinating workplace services, procurement processes (PR/PO), and administrative workflows, while contributing to a positive experience through events and health & safety initiatives.

ACCOUNTABILITY: Office Management & Administration

  • Coordinate maintenance activities (air conditioning servicing, cleaning, etc.)
  • Liaise with external suppliers and contractors; plan and follow up on interventions
  • Maintain and track servicing schedules (AC, equipment, etc.)

ACCOUNTABILITY : Health & Safety Coordination

  • Participate in H&S site visits and ensure proper coordination and follow-up
  • Monitor availability and distribution of PPE (e.g., safety shoes, protective equipment) 
  • Coordinate H&S Committee meetings (planning, logistics…)

  • Support implementation and tracking of H&S action plans 
  • Organize H&S awareness initiatives (Safety Day, campaigns, internal sessions) 
  • Suggest and support initiatives to strengthen safety culture across the company
ACCOUNTABILITY : Purchase Coordination

  • Request quotation as and when required
  • Prepare and raise Purchase Requisitions (PR) and Purchase Orders (PO) as required
  • Liaise with internal stakeholders to collect all necessary information for PR/PO preparation
  • Ensure accuracy and completeness of documentation prior to submission
  • Prepare and maintain the payment schedule in coordination with relevant stakeholders
  • Issue approved Purchase Orders to suppliers and ensure proper communication
