Job Description

Fleet Pro Services Ltd is seeking a dynamic, organized, and customer-focused Fleet Officer to join our team. The Fleet Officer is responsible for supporting the efficient management of the company's fleet operations by coordinating vehicle maintenance, repairs, insurance matters, and administrative activities. The role ensures excellent customer service, compliance with regulatory requirements, and the smooth day-to-day operation of fleet services.

 

Key Responsibilities

  • Answer telephone calls, respond to client queries, and manage email correspondence.
  • Process and forward correspondence, including fines, vehicle documents, road tax, and insurance vignettes.
  • Maintain confidentiality and security of files and filing systems.
  • Schedule vehicle servicing and repair appointments and prepare related reports.
  • Ensure office equipment is functional and coordinate the procurement of supplies and equipment when required.
  • Coordinate the movement of replacement vehicles between clients, dealerships, workshops, and company premises.
  • Follow up on insurance matters, including accidents, renewals, and dispatch of documents.
  • Prepare and monitor accident claims on behalf of clients.
  • Coordinate repairs of client vehicles with workshops and dealerships.
  • Ensure company vehicles comply with Road Traffic Act requirements and are maintained in good running condition.
  • Perform any other related duties as assigned.

 

Qualifications and experience

  • Higher School Certificate (HSC) or equivalent qualification.
  • Previous experience in fleet management, administration, customer service, or a related field will be an advantage.
  • Good communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Proficiency in Microsoft Office Suite.
  • Ability to work independently and handle multiple tasks efficiently.
  • Valid driving licence would be an advantage (Manual Driving Licence)
