Job Description
SUMMARY OF POST
o Working under the guidance of Partners in charge, the administrative assistant will be comfortable providing administrative support through a variety of tasks related to organization and communication to ensure efficient operation of the office.
o This position calls for an organized individual who has the ability to deliver completed tasks accurately and in a timely manner, and who has essential data entry skills, with an eye for detail and familiarity with spreadsheets and data entry software.
1. Organize & coordinate the firm’s marketing trips/events/initiatives, including:
- Assist with the preparation of specific marketing materials linked to a trip/event;
- conducting the relevant clients’/markets researches prior to organizing marketing trips or events;
- Bookings of flight/hotels;
- Preparing agendas (including follow up on meeting requests initiated by fee earners);
- Event logistic management;
- Assist with follow-up action points post trip/event;
2. Coordinate with service providers for the implementation communication initiatives in the local/international press and medias;
3. Manage the website and social media of the firm;
4. Update of firm/lawyers profiles and marketing materials;
5. Coordinate submissions for legal directories.
KEY REQUIREMENTS
§ Certificate/Diploma holder in Business Administration/Secretarial/Marketing/Communication;
§ Minimum 2 years’ working experience;
§ Good written and verbal communication skills in both English and French;
§ Ability to handle administrative tasks efficiently;
§ High efficiency in using Microsoft tools;
§ Very good research skills;
§ Attentive to details;
§ Highly Confidential;
§ Good organization and multi-tasking skills, with an ability to stay focused on assigned tasks;
§ Ability to deal effectively with people.
