Job Title: Office Coordinator

Reports to: Head of
Commercial & Distribution
Job Purpose
To provide high-level administrative, organisational, and coordination support to the Head of Commercial & Distribution, ensuring the efficient operation of commercial and distribution activities, and facilitating effective communication across internal and external stakeholdersKey Responsibilities
1. Executive Support
- Manage and
maintain the Head’s calendar, including scheduling meetings, appointments,
and travel arrangements
- Prepare
agendas, presentations, reports, and briefing documents
- Screen and
prioritize emails, calls, and correspondence
- Act as a
liaison between the Head and internal/external stakeholders
2.
Commercial & Distribution Coordination
- Support
coordination of commercial activities, promotions, and campaigns
- Assist in
tracking sales performance, preparing reports, and consolidating data
- Coordinate
with distribution/Logistic teams to ensure timely execution of plans
- Follow up on
action items, deadlines, and project deliverables

Administrative Management
- Organize
meetings, take minutes, and track action points
- Maintain
organized filing systems (digital and physical)
- Handle
expense reports, purchase requests, and basic budget tracking
- Ensure
proper documentation and record-keeping
4.
Communication & Stakeholder Management
- Draft
professional correspondence, emails, and internal communications
- Welcome
& coordinate with clients, suppliers, and partners when required
- Facilitate
information flow between departments (Sales, Marketing, Logistics,
Finance)
5.
Project & Process Support
- Assist in
special projects, reports, and business reviews
- Monitor
progress of key initiatives and provide status updates
- Identify
opportunities to improve administrative processes and efficiency
Qualifications & Experience
- Bachelor’s
degree in Business Administration, Management, or related field
- 3–5 years of
experience in an administrative or executive support role
- Experience
supporting senior management (preferably in commercial/sales environments)

- Proficiency
