Job Description

Position Summary

The Maintenance Coordinator is responsible for coordinating and monitoring all maintenance activities to ensure the efficient operation of facilities, equipment, and assets. The incumbent combines technical expertise with strong administrative skills to support preventive and corrective maintenance programs, manage maintenance records, coordinate contractors and suppliers, and ensure compliance with safety and operational standards.

Key Responsibilities

Technical Responsibilities

  • Coordinate and monitor preventive and corrective maintenance activities.
  • Assist in troubleshooting and resolving technical issues related to equipment, machinery, electrical, plumbing, HVAC, and building systems.
  • Conduct regular inspections of facilities and equipment to identify maintenance requirements.
  • Ensure maintenance works are completed according to established standards and timelines.
  • Monitor equipment performance and recommend improvements to increase efficiency and reliability.
  • Coordinate with external contractors and service providers for specialized maintenance work.
  • Ensure compliance with health, safety, environmental, and regulatory requirements.
  • Assist in planning shutdowns, renovations, and maintenance projects.
  • Maintain an updated asset register and maintenance schedules.

Administrative Responsibilities

  • Prepare and manage maintenance work orders and job requests.
  • Maintain accurate maintenance records, reports, and documentation.
  • Update maintenance management systems and databases.
  • Prepare weekly and monthly maintenance reports, including KPIs and performance indicators.
  • Coordinate procurement requests for spare parts, tools, and maintenance supplies.
  • Monitor inventory levels and maintain stock records for spare parts.
  • Assist in budget preparation and track maintenance expenditures.
  • Schedule maintenance activities and allocate resources effectively.
  • Coordinate meetings and follow up on maintenance action plans.
  • Ensure all maintenance documentation, permits, warranties, and certificates are properly filed and updated.

People Management & Coordination

  • Coordinate daily activities of maintenance technicians and contractors.
  • Ensure effective communication between departments regarding maintenance requirements.
  • Support training and development initiatives for maintenance personnel.
  • Promote a culture of safety, teamwork, and continuous improvement.

Qualifications & Experience

  • Diploma or Degree in Mechanical Engineering, Electrical Engineering, Building Services, Facilities Management, or related field.
  • Minimum of 3 years' experience in maintenance coordination, engineering administration, or a similar role.
  • Experience in hospitality, manufacturing, industrial, or property management environments will be an advantage.
  • Sound technical knowledge of building systems, equipment maintenance, and engineering operations.
